Choosing title, date, attendees and email tone

Meeting title (optional) isnt just decoration. A title such as “Suport handoff planning” gives the recap and email a clearer frame than a blank title. Especially if the transcript starts mid conversation.

Meeting date helps the follow up read like a real recap. It also gives you a fixed reference point when someone says “next Tuesday” or “by end of month,” though you should still verify any date the tool suggests from vague langauge.

Privacy warning, browser support and AI error messages

This isn’t a browser only or offline tool.

Look, it uses cloud AI to read your transcript or notes. Plus, the meeting text is sent to Google Gemini to generate the result.

That matters for real meetings. Dont paste confidential data you can’t share. Like private customer details, internal personnel issues, unreleased plans or contract language.

If you need the structure. But not the sensitive text, redact names, numbers and proprietary details. Before you press Extract.

Some devices and browsers may not run the app. The UI recommends trying the latest Chrome or Edge. On a newer computer. Or opening the page on a phone, if the tool cant run.

Cloud requests can also fail. The AI may not answer, the request may be blocked. Time out or not get through. Plus, the reply may not be readable.

If that happens, run it again with a shorter or cleaner transcript. But don’t keep retrying with material you shouldn’t be sending. You get the idea.

Troubleshooting common mistakes

The transcript is too short

Fix. Add enough real meeting text to clear the 40 character minimum. A topic line by itself usually can’t produce owners. Deadlines or meeting decisions and open questions.

The file will not load

Fix. Check the file type and size.

Also, the accepted file types are.txt.vtt and.srt. And the file input limit is 1 MB.

The output has the wrong owner

Fix. Add attendees and match the naming style in the transcript. If the notes say “Anna” but the attendee list says “A.

Patel,” owner matching has less to work with.

No action items were found

Fix. Read the decisions and summary before assuming the run failed.

Soem meetings record direction without assigning a task. If the team did assign work, add the section of the transcript where that happened and run it again.

The follow-up email sounds off

Fix. Switch the Email tone and rerun. Or copy the draft and edit it yourself.

Brief is offen better for internal updates. Meanwhile, Formal may fit a external recap. And that matters.

The transcript is too long

Fix. Remove small talk, repeated captions and unrelated sections before submitting.

On the free plan, stay within 8,000 characters. Think about it.
